Sage 100 Payroll 2018: A Payroll tax update is in process.

If you’ve updated to the latest Sage 100 2018 Payroll – also referred to as Sage Payroll 2.0 – and you are receiving a message “A Payroll tax update is in process. Please try again in a few minutes” when you open payroll, here is the fix.

Note: Always create a backup copy of any file which you are modifying with utilities. Use of Sage file utilities can cause issues if the steps are not followed. Consult with your Sage partner prior to attempting this.

Change SyncStatus field to ‘1’ in PR_SPASyncControl.m4t file using Data File Display and Maintenance

  • Have everyone else exit Sage100
  • Open Library Master, Utilities, Data File Display and Maintenance. Select ‘OK’ to warning message
  • Select folder icon to the right of the File Name field and select …\MAS90\MAS_System\PR_SPASyncControl.m4t
  • Select Open
  • Select Edit
  • Select ‘2 – SyncStatus (numeric)’ from the Field Number dropbox field
  • Enter: ‘1’, in Change field
  • Select OK
  • Exit Data File Display and Maintenance
  • Open Payroll, Utilities, Payroll Tax Update
  • Select Proceed
  • Click OK

Sage 100 Patches Address Issues With Disappearing Payroll Files

Over the past few weeks, numerous users and consultants have wrestled with an annoying issue with disappearing data files.

This primarily occurred with payroll and seemed to be present in all versions of Sage 100 – including Sage 100c.

In many cases, users would notice that payroll data files like PR9, PRB, PRI, PRJ, PRK, PRL, etc. are missing when printing Payroll registers or checks.

An Error 12 PRWUAA 8825 would also sometimes appear while running payroll tax calculation.

According to Sage KB 106266

This primarily affects users of Payroll but may affect any Legacy module data entry file. Other messages may include Work Order data entry files are missing, Job Cost data entry files are missing, Time Card data entry files are missing, etc. Legacy versions of Sage 100 (formerly Sage MAS 90 or 200) may also experience issues in other modules.

It seems as if two non-Sage updates were the cause of the issue:

a. Microsoft Security updates – kb4051034 and kb4054518

b. Webroot Anti-Virus changes

Sage just posted a series of fixes that address this issue as follows:

The behavior that we have been able to address is that for Sage 100 Standard users in some environments, after applying specific Windows Security Updates (KB4051034 and KB4054518) customers are having problems with those files. The KB articles with the Program Fixes are 88508 (2018.1), 88509 (2017.1 – 2017.3), 88510 (2016.1 – 2016.5), and 88511 (2015 and prior).

We have also heard that Webroot is removing those files, even if the Sage 100 program and “MAS 90” and “PRXXX” directories are excluded. Unfortunately, in the case of Webroot the only solution we have at this time is to remove Webroot and use another product.

To resolve this issue, navigate to the appropriate Sage KB article and apply the fix. If you are using Webroot Anti-Virus you should consider removing it and using a different brand of AV. Note: Do NOT go without anti-virus, rather you should use a different brand that won’t interfere with Sage.

Sage 100 and Sage 100c Payroll Subscription Deadline Now August 1, 2017

In April of 2016 Sage introduced a new payroll subscription plan (effective beginning May 1, 2016) for Sage 100 and Sage 100c payroll users.

This plan (subscription) replaced the fixed annual maintenance on payroll with a subscription priced by the number of active employees. As a company’s Sage 100 maintenance expired they were offered the opportunity to enroll in a payroll subscription which was in addition to the regular Sage 100 maintenance.

Sage began accepting enrollment in the payroll subscription as customers began renewing on or after May 1, 2016.

By April 30, 2017 Sage had said all payroll customers would need to be enrolled in one of the following subscription plans or their payroll software would begin warning them about not having a valid payroll subscription .

Sage recently announced their April 30, 2017 deadline has been extended and the new payroll subscription deadline is August 1, 2017.

Customers must be on a new payroll option by August 1, 2017

• Please contact your Sage business partner or Sage sales representative to select a new payroll option and to get set up with the correct subscription tier.

• If you are on Sage 100 versions 2015.5+, 2016.2+, or 2017 and you are connected to the Internet, you do not need to do anythingg. The software will retrieve your new expiration date from our server automatically.

• If you are on Sage 100 versions 2015.3, 2014.4, or 2016.1, please reference KB article 83158 in Related resources and apply this patch. Once installed and connected to the Internet, your expiration date will update automatically.

• If you are not on one of these supported Sage 100 versions, you can continue to se your Payroll module, but no future updates will be released for those versions.

• If you do not have Internet access, please contact your Sage business partner or Sales representative.

What Forms Do I Need To Print W2 or 1099 Forms With Sage 100?

We’ve had several inquiries about the proper forms to use when filing  2016 W-2 and 1099’s through Sage 100 / Sage 100c.

Sage has this knowledge entry which suggests:

Sage 100 includes “print and sign” tax forms functionality for payroll tax forms using eFiling & Reporting (NOTE: You can print the fileable forms for NO extra cost – if you want to eFile or have Sage handle the distribution then there is a separate fee).

This feature eliminates the need for some pre-printed forms — allowing you to print on plain paper instead.

However, IRS regulations require that employee copies of Form W-2 (Copies B, C, and 2) and Form 1099 (except Copy A) be printed on perforated paper and individual filing instructions be given to each employee (IRS Publication 1141 Sec. 2.05 and 2.19 and IRS Publication 1179 Sec. 4.5.3). Sage Checks and Forms offers these plain paper forms in the required perforated format.

 

2016 W2 and W3 Forms – Sage 100

Employee W2 (Copy B, C and 2-Copy 2s) = Blank 4 part perforated with Employee notice on back (Sage Forms part # LW2BLANK4 or LW2BK4DWS)
Federal W2 (Copy A) = Print to Plain Paper (The Federal W2-SSA copy cannot be printed on perforated paper)
Federal W3 = Print to Plain Paper (The Federal W3-SSA copy cannot be printed on perforated paper)
The Federal Copy A & W3 forms do not need to be printed on pre-printed forms with red ink, please see Additional Information section below.
State – Copy 1 (prints 4 employees per sheet) = system will prompt you to print to Blank 4 part perforated (LW2BLNK4NB) but please contact the State agency for their specific W2 printing/perforation requirements
Employer W2 (Copy D) (prints 4 employees per sheet) = Print to Plain Paper -or- Blank 4 part perforated
1095

Employee 1095-B – Blank Full page w/instructions on back (Sage Forms #L1095BBLK)
Employee 1095-C – Blank Full page w/instructions on back (Sage Forms #L1095CBLK)
** Forms 1094 and 1095 Federal & Employer copies can be to plain paper

**Note: When using eFiling and Reporting to print ACA 1095 forms, Aatrix has designed their form templates on both of the 1095 forms to print the employee’s address in alignment with the existing W2 envelope, which will help reduce costs.

2016 1099/1096 Forms – Sage 100

Recipient 1099 (Federal, 2-Copy 2’s and Copy B) = Blank 4 part perforated form (Sage Forms part # L99BLANK4 or L99BK4DWS)
Note: The recipient notice is not printed on the backs of these blank forms, you will need to print the recipient instructions to plain paper from within 1099 eFiling viewer screen.
Federal 1099 (Copy A)** = Copy A must be printed on official pre-printed federal forms RED ink. Please contact Sage Forms for specific part # applicable to the type of 1099 forms you will be printing (MISC,INT or DIV)
Federal 1096 Form** = 1096 Form must be printed on official pre-printed federal forms RED ink. Please contact Sage Forms for specific part # applicable to the type of 1099 forms you will be printing (MISC,INT or DIV)
Payer 1099 (Copy C) (prints 4 recipients per sheet) = Print to Plain Paper or Blank 4 part perforated
State 1099 (prints 4 recipients per sheet) = Blank 4 part perforated but please contact the State agency for their specific 1099 printing/perforation requirements. Some states do not require 1099s to be filed.
State 1096 = Print to plain paper but please contact the State agency for their specific 1096 printing/perforation requirements. Some states do not require 1096 form.

Order one of the 1099 bundle packages that will include 4-part perforated blank 1099s, 1099 Federal Copy A and Federal 1096 (which are pre-printed federal forms with RED ink).

Sage 100 Box 13-Retirement Error When eFiling

Several of my 90 Minds Group members have encountered an issue when processing Sage 100 payroll for year-end 2016. Specifically this error appears when transmitting W-2 information via the e-Filing / Aatrix integration within Sage 100.

The message appears as below:

If Box 13-Retirement is checked, then box 12D or 12E  or 12 AA or 12 BB must be greater than $0.00 [ x error(s)]

 

According to Aatrix, the error is not a fatal error but is displayed to warn that data is being entered in a manner inconsistent with IRS guidelines. There are no plans to fix. Please check with your tax advisor about the proper entry fo the data. If advised by your tax advisor you should be able to skip the error and continue processing by clicking “Continue without correcting”
