Unable to Get AESCrypto.dll Library Access With Sage 100 E-Filing

Several consultants report that when trying to run Federal and State Tax Reporting in Payroll ( may also occur in Accounts Payable 1099 Reporting ) on Sage 100 Advanced or Premium, the user sees “Unable to get AESCrypto.dll Library Address”.

Sage 100 makes use of integration with Aatrix for electronic filing ( aka e-Filing ). This allows Sage to pass either payroll or form 1099 data through to Aatrix where forms may be printed or electronically filed.

Please note that you must use the e-Filing in order to print tax forms ( at no cost ). You are not, however, required to electronically file using the service. If you opt to e-File there is a separate charge for the filing which is listed on the Aatrix website.

How to Fix Sage 100 AESCrypto.dll Error Message

Sage has a report of this error which they’ve documented in their knowledgebase. It’s unknown at what version the error may appear since the article only lists the error report with no mention of version(s) that it might have been reported with.

Please consult your Sage Business Partner prior to making any changes to Sage 100. If you don’t have a partner you can discuss these changes with your IT staff and/or call the Sage support line directly at 800-854-3415 to request their assistance.

The workaround suggests a number of basic steps to ensure that the installation of Sage 100 is complete. Please note that despite the AESCrypto.dll file name – this is an expected Sage file and does NOT normally indicate an issue with any type of crypto locker or another type of malware.

One workaround is to follow these steps:

Before making any changes below you should have a complete backup of your Sage 100. You should also have everyone out of Sage to lessen the possibility of interfering with an existing process.

Reinstalling the workstation client will require local administrator rights to the computer. If you are unsure whether you are a local administrator on your computer, try running any of the steps below by right-clicking and selecting “Run as Administrator”. If you are prompted to log in again then you are likely not at the local administrator level on your computer.

In order to contact Sage support for assistance, you will need to be on a current subscription or maintenance plan. Sage also will only provide support for current levels of Sage 100 as noted here.

  1. Rename ‘C:\ProgramData\Sage\Common Components’ folder.
  2. Reinstall Sage 100 Workstation Client (see Related Resources section)
  3. Reinstall Federal and State Reporting (see Related Resources section)
  4. Go to ‘C:\ProgramData\Sage\Common Components’ and verify AESCrypto.dll and AES.exe exist. If the files are missing, copy from another workstation or call Sage Support 1-800-854-3415 to obtain copies of missing files.
  5. Try re-running Federal and State Tax reporting again

You likely are seeing this message in either Sage 100 Advanced or Premium. Both of these versions normally operate through a service running on your server. The service requires a Windows account for it to run. In some cases that Windows account may not have high enough permissions for certain actions such as e-Filing.

For Sage 100 Advanced and Premium where the host is being run as a service, you may need to review the permissions for the account running that service.

Sage suggests that the service account have FULL permissions to c:\ProgramFiles\Sage\… on the Application Server. Several consultants have reported that even with full permissions their Advanced and Premium installations still would produce the AESCrypto.dll error.

Ultimately what some consultants found that worked is to temporarily elevate the permissions on the account running the service to that of the domain administrator ( please consult your IT department prior to making any changes ).

After the E-Filing has been completed the permissions for the service account should be reduced.

Form 941 For Q2 2021 Includes 23 Changes

eFiling and tax solution provider Aatrix has outlined the 23 changes to the IRS form 941 for Q2 2021. These changes impact part 1 and part 2 of form 941 which is required to be filed for payroll periods ending on or after June 30, 2021.

The changes to the 941 form include 10 new lines and 13 updated lines. Aatrix provides the tax filing integration used by Sage 100 and allows for both printing and e-filing of payroll returns using the most up-to-date forms.

Follow these instructions to update your Sage 100 payroll forms via Aatrix. Please note that you must be on one of the Sage 100 versions below in order to update to the latest forms from Aatrix:

  • Sage 100 2019.5
  • Sage 100 2020.2
  • Sage 100 2021

How To Reprint W2 Forms from Sage 100

If you need to reprint an employee’s W-2 form from a prior year you’ll be happy to know that this is easily accomplished in Sage 100 payroll.

Unlike in legacy versions of payroll, Sage 100 payroll now retains historical information which enabled the re-printing of W-2 tax forms from prior years without needing to switch Sage 100 company codes.

From the Sage KB here are the steps:

Start by switching to Sage 100 Payroll

  • Select Payroll, Period End
  • Select Federal and State Tax Reporting
  • Select Existing Report
  • Select the W2 form, Edit, Reprint completed W-2s
  • Print either: (a) All, (b) Selected or (c) Locally sorted copies
  • Next – Reprint Employee options ( A) All, (B) Select or (C) Instructions Only

If you find yourself frequently reprinting W2 forms you might want to select one of the Aatrix options where Aatrix prints, mails and allows employees to access their W2 forms online. This might relieve your accounting department of the need to reprint and research prior year W2 forms for employees.

Sage 100 Aatrix e-Filing Bug Erroneously Reports Bad SSN Matches for 2020

Early e-filers of W2 forms may have erroneously received a notice from Aatrix that their 2020 Sage 100 payroll files contained erroneous social security information.

The message indicated that the employee SSNs could not be verified by the IRS and that the company submitting the file should verify that the correct SSN were submitted.

Later in the day Aatrix began to notify users that the message had been sent to some in error and there may not be any issue with the social security number validation.

Aatrix advises that if you have received a message indicating SSN mismatches that you can use the following instructions to verify your filing:

To view Filing Status:

  1. Navigate to https://efile.aatrix.com/ 2. Click on Log In in the upper right corner 3. Login with your eFile username and password 4. Click on the Filings Tab
    a) Open Status: One or more parts of the filing are not complete.
    b) Closed Status: All parts of the filing has been confirmed as complete or the filing was manually closed through the Aatrix online account.
    c) Deleted Status: The filing is deleted and no part of the filing will be processed.
  2. Click on the Details Link for the appropriate AFID number in the filings list.
  3. In the additional details for the filing, each part of the filing will be listed with a status:
    a) Awaiting Batch Processing: Not yet submitted to agency.
    b) Rejected: Reason for rejection will be displayed.
    c) Not Confirmed: Submitted to agency, but not yet confirmed.
    d) Accepted: Submitted to agency and confirmed as received/processed.

Sage 100 eFiling Deadlines for 2018

Aatrix, the eFiling partner for Sage 100 and Sage 100cloud accounting software has released the deadlines by which files must be submitted if you are eFiling your tax forms for 2018. As you may know, all filing of tax forms within Sage 100 and Sage 100cloud supported versions are processed through the eFiling feature.

For the tax year 2018 you’ll need to be on Sage 100 or Sage 100cloud version 2016.5 or higher. Be sure to apply the latest Sage 100 product updates and the IRD so as to ensure compatibility with the eFiling process.

Printing of forms through the eFiling menu option is free. In many cases, these forms can be filed directly from the printer (check with your financial advisor on which forms can be “plain paper” filed). If you prefer you may have Aatrix electronically file your forms as well as mail copies to recipients. An additional fee applies for eFiling and mailing.

E-Filing Deadlines for 1099 and W-2 Forms

Sage 100 and Sage 100cloud both utilize Aatrix for 1099 and W2 form filing at year-end. These forms can be printed and mailed into the required tax authorities or, for a small fee, you can have Aatrix file the information electronically and distribute copies of the forms to recipients as required.

The deadline for submitting eFiling information for the 2018 tax season is as follows. Please consult with your tax or financial advisor to see whether any changes have been made to these deadlines.

If you are using Sage 100cloud please be sure to also install the latest IRD (Interim Release Download) which contains important year-end updates designed to accommodate your 2018 electronic filing with the IRS.

*The 2018 IRD will be the last year-end IRD for Sage 100 2016

**The 2018 IRD only needs to be installed by Sage 100 2018 users if they are processing 1099s.
