When Will Sage 100 2023 Be Released?

Based on a recent post to the company’s knowledgebase, the next release of Sage 100, version 2023, has been slated for April 27, 2023.

Sage recently noted some additional updates expected to be released around the time of the Sage 100 v2023 version. The following versions are all slated for April 2023 release – presumably around or on the same date as the version 2023 release.

  • Sage 100 2022 Product Update 3 (7.10.3)
  • Sage 100 2021 Product Update 6 (7.00.6)
  • Sage 100 Payroll 2.23.1

Sage has yet to release a list of expected new features publicly. Once this information is released, it will be cataloged online at Sage 100 Product Documents.

Beginning in October 2023, Sage announced their licensing servers would be updated to exclusively use the more secure TLS 1.2 (or higher) protocols.

Beginning in December 2023, Sage will require payroll users to be on one of the following Sage 100 versions:

  • 2023.x
  • 2022.x
  • 2021.x
  • 2020.x

Users not on one of the compatible Sage 100 versions shown above cannot install payroll update 2.24 required for year-end tax reporting. Beginning with the release of payroll 2.24, Sage announces they will support the current and three prior versions of Sage 100 for payroll users.

Sage 100 Updated TLS 1.2 Licensing Requirements ( February 2023 )

In October 2023, Sage plans to update their licensing servers and remove less secure TLS 1.0 and 1.1. All Sage 100 users must be on  TLS 1.2 or higher, the only version compatible with the licensing servers, or risk having their Sage 100 system go into read-only mode after being unable to communicate with the licensing server.

The chart above shows exactly which versions of Sage 100 and 300 are compatible with the upcoming changes.

According to Sage, license checks occur upon the regular expiration date of your subscription. Monthly subscribers will therefore have licensing checked more frequently while annual paid subscription is only checked once per year.

Is Sage 100 Accessible After a Sage 100 Subscription Expires?

Once a Sage 100 license has expired (including being unable to reach the licensing server), there is a 45-day grace period to renew. After that time, Sage 100 will only have read-only access to data. Customers will still be able to Sage 100, which will display a message that the Sage 100 subscription has expired, and may view existing data, but it will no longer be able to make changes or enter new transactions.

From the Sage update: 
As previously communicated, effective October 2023, Sage License Servers will no longer accept communication using the less secure TLS 1.0 and 1.1 protocol. Therefore, Sage 100 and Sage 300 customers must be on a recent version.

Shipment Tracking Functionality Restored to Sage 100

As announced in a Sage City Post, the tracking button in Sage 100 is working again.

Previously functionality saw the button, when used to lookup tracking information for a package tracking number, redirect to a third-party site – iShip. This site provided multi-carrier tracking number information and was convenient because it could be used to lookup many carriers from one website.

iShip – was purchased by UPS and, on 12/31/2022, ceased to provide a public API.

Users who tried to use iShip to track carrier packages by tracking number were met with an error message.

Because Sage maintained the link to the tracking site on their servers, they have been able to fix this on their end, and no patch is required to restore functionality.

According to a Sage City posting, this is how Sage will manage requests for carrier tracking information:

The new implementation will now use the tracking ID, to determine which carrier it belongs to and re-direct to the appropriate site. The carriers that this will handle automatically will be USPS, UPS, Fedex, DHL, and Ontrac. If the package id is not determined to be one of the aforementioned carriers, it will be re-directed to a google search with that package id.

In Sage 100, this will work from any package tracking buttons (ie Shipping Entry) and for paperless emails that use the embedded tracking token [TrackingNo]

How To Edit 1099 Totals In Sage 100

It’s time to file you 1099-NEC forms and suddenly you notice that one or more vendors have inaccurate totals. What’s the fastest way to edit those amounts in Sage 100? 

Within the system you can edit 1099 amounts. However, before doing so please consult with your tax or accounting advisor to ensure that the changes you are about to make are warranted.

Starting in 2020 a new 1099 form – 1099-NEC – replaces the prior 1099-MISC for reporting most non-employee information. Please refer to Sage KB 103480 for information on ensuring your Sage 100 system is able to process for 1099-NEC forms.

The ability to record 1099 NEC was released on Sage 100 Versions 2020.0, 2019.3, 2018.9. This utility only provided the code to update to the correct 1099 NEC boxes and use the utility to move the 1099 MISC values already recorded for year 2020 from 1099-MISC to 1099-NEC as needed.

Note: If you need to print the 1099 NEC and not just record, you will need to be on version 2018.10, 2019.4, or 2020.1. If you are on Sage 100 2020, do NOT confuse version 6.20.1.0 (2020 with Product Update 1) with 6.20.0.1 (2020 with NO Product Updates). You must install Product Update 1 for version 2020 so it is 6.20.1.0.

How To Change 1099 Totals in Sage 100

Editing 1099 amounts in Sage 100 is a two-step process. First, allow the access to perform this task by modifying the tole security as shown below. Once you’ve modified role security, go to vendor maintenance and make the changes.

You should make a backup before making any changes. There is no undo function. There is no audit-trail to show what changes have been made. Make certain that you really want to make these changes.

Open Modules, Library Master, Main, Role Maintenance

  1. Select Role
  2. Click Module Options tab
  3. Double click Accounts Payable
  4. Select Allow 1099 Payment History Data to be Maintained in Vendor Maintenance
  5. Click Accept and close Role Maintenance
  6. Edit 1099 History in Vendor Maintenance

 

Note: you may want to make a back-up before editing any amounts as there will not be an audit trail of amounts changed.

 

Open Modules, Accounts Payable, Main, Vendor Maintenance

  1. Select Vendor No.
  2. Click on Additional tab
  3. Click on 1099 History
  4. Verify 1099 Form Type and Year are correct.
  5. Edit applicable amounts
  6. Click Ok

If you withheld taxes on behalf of a vendor you would do the steps above to edit 1099 history and then enter applicable tax amount withheld as well as any other applicable fields (i.e. state income, state tax ID) in the applicable fields.

How to Reconcile Sage 100 Accounts Payable Detail to the General ledger

The Sage City community has answered a frequently asked question about which AP report to use when reconciling your Accounts Payable detail to the General Ledger Trial Balance. The answer is the AP Trial Balance Report because it produces a cutoff based on the posting date, which can be reconciled to General Ledger.

The Accounts Payable Aging Report is used to manage payables based on their invoice date, which may not always be correlated to the accounting date they were posted in.

From Sage City:

When reconciling AP to the GL and using the AP Trial balance, does the invoice date have an impact on differences? As I understand it using the AP Trial balance goes by transaction date which is the GL posting date. I’m reconciling day by day and sometimes the AP invoice date does not equal the transaction date. Would this scenario be a valid difference in balancing the AP Trial Balance to GL or no because the the trial balance does not use invoice date?
