Sage 100 2018: The encryption key is invalid. See your system administrator (Caution)

In prior versions of Sage 100, it was common when undergoing an upgrade final conversion to copy the main company data file – MAS_XXX from the old version of Sage into the newer version.

For the first conversion, the data would be migrated as per Sage instructions. Then, typically, some testing happened for a few days. When ready to perform a final data conversation sometimes the data folder could be copied and converted as opposed to going through another migration and conversion.

System migration can be time-consuming and potentially created issues (ie – overwrite) with forms or panels that were modified in the upgraded version.

Once the data was copied the final conversion could occur without a lengthy re-migration.

Certain features such as Paperless required some behind-the-scenes work to synch, however that was a task many consultants were comfortable performing. Similar workarounds exit for copying SageCRM data.

With version 2018 Sage has issued this update which advises AGAINST copying the MAS_XXX.

The encryption key is invalid. See your system administrator.

Cause
Copying MAS_XXX (XXX=Company Code) data into the MAS90 folder of Sage 100 2018 installation.

Installing Sage 2018 in the same location as any prior installation and not removing the MAS90 folder prior to the installation.

Resolution
Remove the MAS_XXX folder that was copied into the Sage 100 2018 Mas90 directory.
Do NOT copy only MAS_XXX data under the MAS90 directory as done in 2017 and prior versions. Due to the encryption in version 2018, this will not work. Must also copy MAS_System folder when attempting to bring data into version 2018.

Uninstall the Sage 100 2018, remove the MAS90 folder and anything in it prior to reinstall.

Do NOT install version 2018 over an existing MAS90 directory from a prior installation.

What’s New in Sage 100 and Sage 100c 2018?

Note: Some of these features are available to Sage 100c only

  • A redesign of the Job Cost and Payroll modules to improve performance and usability
  • Spell checking in several areas including comments, memos, and messages that print on forms (Sage 100c only)
  • Inactive and restricted statuses for warehouses (Sage 100c only)
  • Mobility for Bar Code (upgrade of Bar Code module) (Sage 100c only)
    • EZ Import for data collected on mobile devices
      • Inventory EZ Import for Physical Count Entry, Count Card Entry, receipts, issues, adjustments, alias entry, and job issues.
      • Sales Order EZ Import for Invoice Data Entry and Shipping Data Entry
      • Purchase Order EZ Import for Receipt of Goods
      • Bill of Materials EX Import for Production Entry
  • New Crystal Reports 2016 (requires uninstalling prior version )
  • Service notifications for Sage service status (Payroll)
  • Improvements to the renamed Mobility for Bar Code module, including a simplified import process to extend support for mobile apps
  • Important: There is a new Crystal Runtime shipping with Sage 100 v2018 which is NOT compatible with earlier versions of Sage 100. The SAP Crystal runtime included with Sage 100 2018 is not backward compatible with previous releases of Sage 100

If you are also using Sage Fixed Assets 2018 you’ll need to make some additional fixes due to potential conflicts with the version fo Crystal included with SFA 2018 – Sage KB 86606 has the details.

Sage 100 and Sage 100c Version 2018 Release Date Is October 20, 2017

Sage just posted an internal webinar announcement for “See what’s new in the next Sage 100 & Sage 100c & Sage Fixed Assets 2018 Releases” for their partners. The webinar is scheduled for October 11, 2017 with the product availability first schedule for October 20, 2017

(NOTE: In some cases Sage provides partners with the new release in advance of customers so this release date may be variable for end users although I expect by the end of October most will have access to the update).

New features listed:

– Redesign of Job Cost and Payroll to bring them both up to framework
– Spell checking in several areas (comments, memos and messages that print on forms) – 100c feature ONLY
– Inactive and restricted statuses for warehouses – 100c feature only
– Sage mobility for barcode to optimize import record capabilities from a mobile app

Sage Fixed Assets:

– Workflow updates to help support quick and easy ways to manage your business
– Tax compliance updates that can eliminate end-of-year anxiety for tax preparations
– Tracking mobile barcode scanner app for Android to bring modernization to our tracking module

Key takeaways:

– If you’re not already using Sage 100c you should make plans to migrate. In some instances Sage may have promotions to make the transition equal to or the same price as your Sage 100 maintenance.

– Stay current! Sage is moving quickly in what versions they support. In my view you should now be upgrading annually in order to take advantage of all the features that you are paying a subscription form. Many consultant can offer off-hours conversion so that you experience little – if any – downtime during upgrade.
