What Happens If I Don’t Upgrade My Sage 100 Payroll?

Earlier this week Sage sent the following notice to Sage 100 users who had not yet upgrade from legacy ( Sage 100 2017 or earlier ) Payroll to the new Sage 100 Payroll 2.0.

Sage users who remain on legacy Sage 100 Payroll ( unsupported version 2017 or earlier) may encounter the following issues:

  • No payroll programming changes to meet new tax requirements ( Warning: Not all tax changes can be accomplished by manually updating tax tables )


  • No tax table updates ( During 2018 Oregon implemented a statewide transit tax effective July 2018 ( image above ) which required affected users to move to the current payroll as Sage did not upgrade the legacy program for these changes and there was no easy way to change the tax tables to capture the new tax)
  • Tax tables in legacy Payroll may still be updated manually but some tax changes will require program changes ( see first item above )
  • No further IRD ( Interim Release Download ) which updates Payroll for tax reporting changes – this increases the likelihood that you will be typing out your W-2s instead of printing them through Sage eFiling.
  • Users on legacy Sage 100 Payroll ( version 2017 or lower ) will be unable to upgrade to any higher version of Sage since the current releases ( 2018+ ) all require the latest Payroll update


  • No support for 2020 W-4 changes ( W4 changes explained here – pdf )

Given that payroll requires a high degree of accuracy to remain compliant I strongly advise you to remain current on the latest Sage 100 Payroll release. If you are using Sage 100 version 2017 ( or earlier ) Payroll then you should plan to upgrade before year-end.

Error 13 PR_ConvertToFramework When Upgrading Sage 100cloud Payroll 2018 / 2.0

We’ve seen several reports from users upgrade Sage 100cloud payroll to 2018 from an earlier version.

The error message reportedly occurs upon the second re-migration / conversion. Typically users will migrate and convert data once to test and configure. Then when ready to go live the data files are remigrated and converted.

It is during this remigration that the following error appears:

Error 13 PR_ConvertToFramework

Although Sage has yet to list the issue in their knowledgeable, the workaround appears to be:

Copy the PRX.SOA ( Payroll Miscellaneous Tax Rate File ) from the PREVIOUS (old) version of Sage 100 into the new Sage 100cloud 2018 PR folder.

This will reportedly allow the second migration to continue without error.

The following files contain the Payroll Tax Tables; they are stored in the ..\Mas90\PR\ folder ( Note: You only need to copy the PRX.SOA):

PRU – P/R Tax Table Master File
PRW – P/R Special Tax Calculation Master File
PRV – P/R Filing Status Master File
PR_09 – P/R Special Tax Calculation Tables
PRX – P/R Miscellaneous Tax Rate File
Note: All files listed above will have a .soa file extension (ex. PRU.soa)

As always, make backups of your data before changing any files. Please consult your Sage partners prior to making changes.

Sage 100 Payroll 2.0 – First Look

Sage have released a set of 3 videos spotlighting changes they expect to introduce in Sage 100 Payroll 2.0 which is slated for release with Sage 100 2018.

With this update, Sage brings payroll to business framework standards which means many underlying data tables will be updated and standard reports become customizable with the use of Crystal Reports.

All features shown below are subject to change until final release.

 

Sage 100 Payroll 2.0 Setup

Highlights: 

  • Can now begin processing the next payroll quarter without closing the last
  • Benefit codes are now referred to as time off
  • All time off descriptions can be changed (previously only 3rd)
  • Can reset time off limits based on employee anniversary date

 

Sage 100 Payroll 2.0 Employee Maintenance

Highlights:

  • Employee name up to 40 characters
  • Up to 25 character middle name
  • Up to 4 character suffix
  • The main tab adds second phone number, extension, and phone type drop box along with primary number checkbox
  • New medical coverage fields which are stored in a calendar year history file
  • Up to 9 separate pay rates

 

 

Sage 100 Payroll 2.0 – New Payroll Setup Wizard

Highlights:

    • Setup multiple state and tax jurisdictions
    • Time Off replaces Benefits terminology
    • Reset time off at end of benefit year or employee anniversary date
    • Deductions can prompt to recalculate all deductions or only automatic deductions
    • Payroll history now retained at least 4 years
    • eFiling check history retained at least 4 years
