How To Setup The New Direct Deposit in Sage 100 Payroll

Before getting started, please remember that Sage Direct Deposit Service is ONLY available in Sage 100 2016 and Sage 100 2015 PU 4 and higher.

Activating The Sage 100 Direct Deposit Service

When your Sage 100 Direct Deposit application is approved, you will receive an email with a new Sage 100 product key. Activate this product key in System Configuration.

  1. Select Library Master > Setup > System Configuration.
  2. On the Registration tab, click Edit.
  3. Enter your new product key.
  4. Click Activate.

Processing A Direct Deposit

The processing of direct deposit using the new Sage service is the same steps as the previous direct deposit module with the exception of the transmission.

Sync direct deposit payments with Sage 100 Direct Deposit

  1. Select Payroll > Direct Deposit > Direct Deposit Processing. The Process Employee Pre-Note and Direct Deposit Transactions window displays a list of payroll and prenote batches, including batches that have already been synchronized.
  2. Select the batch(es) that you want to synchronize with Sage 100 Direct Deposit.
  3. Click Synchronize and then sign in with your Sage ID (your email address). The Synchronizing Direct Deposit Data window displays the status of the synchronization.
  4. When the status indicates that the synchronization is complete, click OK. Use the Direct Deposit Activity Log to view a recap of the data that has been synchronized between Sage 100 and Sage 100 Direct Deposit. Select Payroll > Direct Deposit > Direct Deposit Service Activity Log.

Bug Alert: Third party Direct Deposit Interface Not Selectable

According to a 3/25/16 Sage knowledgebase entry:

Unable to select Other direct deposit interface in PR Options for 3rd party.

This appears as if it affects only Sage 100 2016.1 and Sage 100 2015 PU4.  If you are using a third party solution for direct deposit you may want to hold off on installing the latest product update until Sage can issue a fix which is promised for the next update due in June 2016.

How To Setup The New Sage 100 Direct Deposit Service

Have you subscribed to the new Sage 100 payroll subscription service? Wondering how to activate the Direct Deposit feature? Here’s a quick summary from Sage’s site:
Before you start –  here are a few important things to remember:

 

  • The initial prenote approval takes five banking days, so please plan ahead.
  • Direct deposit payments must be synchronized by 5 p.m. ET two banking days before the deposit (check) date.
  • The direct deposit check date must be a minimum of two banking days after you process payroll.
  • To allow enough time for fee payment processing and transmission, wait until the day after the invoice due date to sync the journal entry for direct deposit fees to Sage 100.

How To Regenerate An Sage 100 ERP ACH File With Kissinger ACH Direct

Problem / Description:

Payroll is run but for some reason the ACH file from KISSINGER ACH DIRECT is not generated or found in the typical location. Attempting to regenerate or run the ACH report produces “no data”.

You can verify that payroll is run by spot checking some employees in employee maintenance and noticing that they all have indications that they were paid by ACH – typically a number followed by a capital D in the “check number” column.

Resolution:

Provided that you’ve ruled out all other possible causes such as: Payroll not posted, employees not flagged for ACH

Go into Direct Deposit on the Sage 100 Payroll menu

– Direct Deposit Processing
– Resubmit ACH Direct Data (this pulls up a saved copy from the \mas90\ddsave)
– Select the data file to pull back into ACH (usually the date of the payroll).
– Follow instructions on pop up menu which will tell you to run the ACH report

– You should now find your ACH file in the customary location

Direct Deposit reversal issue fixed with MAS90 service update 11

Sage just issued Service Update 11 for Sage MAS 90 and MAS 200 which fixes an issue that some have reported when attempting to reverse a direct deposit entry in payroll.

As reported by several resellers, the problem with Direct Deposit appeared to manifest itself when you tried to void a payroll check with direct deposit. Those amounts would be doubled during the payroll calculation resulting in totals that were incorrect.

There are also several other important corrections for those using the following modules:

Accounts Payable

During the check register update, the discount is no longer removed from the invoice when paying a credit memo and invoice together and the total amount being “paid” is negative (so no check prints).

Accounts Receivable

The Customer Listing with Balances Report no longer prints the primary ship to code of the previous customer if the current customer does not have a primary ship to code.

The Global Customer Field Change Utility now updates all customers selected when changing the Payment Type to something other than a credit card type.

General Ledger

The Trial Balance Report now prints the correct period ending date when printing Ending Balance Only is selected as the Report Type to Print.

Payroll

In 941 Printing, the calculation for the SS Tips is now correct.

Sales Order

In Sales Order Entry and Invoice Data Entry, lines are retained correctly when inserting and exploding mulitple kits (exceeding 27 lines).

Recommendations

If you are experiencing issues with any of the above (or see this Sage “what’s fixed” list for a more complete breakout of the fixes included in MAS90 service update 11) – then consult your Sage Business Partner about installing the latest service update.

If you’re not experiencing any issues, we generally would not recommend installing the service update unless (a) You are installing or upgrading MAS 90 or MAS 200 for the first time or (b) you are about to place a support call to Sage for a new issue.

Always remember that if you have enhancements or Extended Solutions that you need to check to be sure that installing a service update does not break any of your existing functionality prior to loading the update.
